Keep one useful incident record
Give each event a block and job reference. Record what was observed, the confirmed source, the repair completed and any unresolved question. A collection of unlabelled photographs is much harder to use when the problem returns.
Close the loop after repairs
Agree who will confirm the repair and what evidence is expected. If symptoms continue, compare them with the earlier findings rather than assuming the same cause. Repair completion, reinstatement and drying should each be recorded as appropriate.
- Update relevant system plans when the pipe route is established.
- Record the location of accessible isolation points.
- Keep the agreed resident communication and access process current.
- Review repeated incidents with the appropriate maintenance specialist.
Use proportionate prevention
Discuss inspection and maintenance needs for the actual systems in the building. Monitoring devices may be useful in some settings, but their location, maintenance and response arrangements need thought. Do not promise that an alarm or a survey can prevent every leak.
